ExecSpace’s guide to planning successful events: timing is everything

Timing plays a critical role in delivering successful meetings and events and, according to venue-finding specialists ExecSpace, booking lead times are continuing to increase.
Selecting the right venue is key, but securing preferred dates and locations often requires earlier planning than many organisations expect.
Based on insights from its team, ExecSpace shares that typical planning timelines are 12-18 months for large conferences and flagship events, 6-8 months for corporate meetings and workshops, and 8 weeks minimum for team socials or celebrations.
The earlier you can plan, the more options you will have. The best venues, dates and suppliers are often secured well in advance; plus, leaving it too late can mean not just limited availability, but higher costs too.
ExecSpace’s managing director, Lucy McNicoll, says: “Timing can influence the overall success of an event. For example, it’s important to avoid the “too early vs too late” trap, as planning too early can lead to changing schedules or low commitment, while planning too late can limit venue options and increase costs.
“Timing is on the day too! Agendas need to be aligned with energy levels, with keynotes or strategic sessions scheduled earlier in the day when focus is highest, and networking or social elements later on”.
“When timelines are tight, flexibility is key, with a focus on high-impact priorities such as securing the venue, confirming key speakers and locking in essential logistics.”
“And, no less important, using the right tools and experienced partners can help avoid bottlenecks and keep planning on track.”
With availability, demand and lead times closely linked, early planning remains a key factor in achieving the best outcomes for meetings and events. ExecSpace continues to support organisations across the UK with expert venue sourcing.
